The Venture Renewal Process

We approach the renewal process like a triangle offense: coordinated, deliberate and built around clear communication. Behind the scenes, our team manages as many as 150 individual touchpoints involving preparation, verification, underwriting and carrier communication. For our clients, we distill that activity into three focused exchanges.
1. Timely Consideration
The process begins approximately 120 days before the renewal date. This gives us time to understand how the business has changed and determine how those changes may affect coverage, pricing and carrier appetite.
Depending on the organization, we may review:

Vehicle, driver and equipment schedules

2. Market Strategy and Underwriting
Most carriers accept renewal submissions between 60 and 90 days before the policy effective date. By completing our due diligence in advance, we can approach the market with a complete, well-supported submission and give underwriters enough time to evaluate the opportunity thoughtfully.
If the incumbent carrier is offering a favorable renewal relative to changes in exposure, loss history and market conditions, we will communicate that recommendation clearly. If the renewal requires broader market evaluation, restructuring or negotiation, we have the time and information needed to pursue those alternatives effectively.
Our submissions extend well beyond industry-standard ACORD applications. The Venture Carrier Proposal is designed to capture what makes each business distinct: its operations, leadership, safety practices, financial strength and approach to risk. It tells the client’s story the way it should be told to the underwriters responsible for evaluating and pricing the account.
3. Placement and Delivery
Once the strategy and coverage terms are approved, we coordinate binding, invoicing and any necessary premium allocations. Binders and certificates of insurance are delivered in advance of the renewal date, together with the applicable policy forms and supporting documentation.
For clients with recurring certificate requirements, our secure client interface also provides access to generate approved, standardized certificates when needed. This helps reduce administrative delays while maintaining consistency with the coverage and forms provided by the policy.

For clients with more complex contractual or regulatory obligations, we coordinate with legal, accounting and other professional advisors to help maintain an organized, defensible compliance process. Our role is to provide practical insurance guidance and oversight, while legal, tax and regulatory advice remains with the appropriate licensed professionals.

Our role includes reviewing loss performance, exposures, premium volume, risk controls, collateral requirements, and long-term financial objectives. We then help structure and present the opportunity, coordinate underwriting, and compare the captive option with the traditional insurance market.
Captives are best suited for organizations with favorable loss histories, disciplined risk-management practices, and the financial capacity to retain a meaningful portion of their risk. Participation is subject to underwriting approval, collateral and capitalization requirements, program expenses, and the potential for additional assessments.
